Job Description
We are currently hiring to support the continued growth of our expanding practice! We are seeking a Clinic Concierge to join our Patient Services Division. The Clinic Concierge plays an important role in creating a warm, welcoming, and organized experience for all families entering the clinic. This role supports smooth clinic flow by greeting families, assisting with arrivals and transitions, and maintaining a calm and positive front-of-house environment. In addition to supporting clinic operations, the Clinic Concierge also helps create a positive waiting room experience by planning and facilitating structured engagement activities for children and siblings while they wait for services. This position is ideal for someone who enjoys working with children, is highly organized, and thrives in a fast-paced and family-centered healthcare environment.
This role has part-time hours available with a schedule of Monday-Friday 3:00 pm - 7:00 pm.
Job Responsibilities
Main responsibilities may include:
Clinic Flow & Family Experience
Greet patients, families, and visitors upon arrival
Provide tours of the clinic for new families
Support the More to Say welcome program for new patients
Assist with check-in flow during busy clinic periods
Support patient departures and transitions between sessions
Provide directions and assistance throughout the clinic
Maintain a welcoming and professional lobby environment
Assist families who may need support while waiting
Waiting Area Management
Maintain a clean, organized, and inviting waiting room throughout the day
Reset seating areas, pillows, toys, books, and activity stations after use
Maintain organization of sensory-friendly waiting spaces
Monitor the waiting room atmosphere to support calm transitions
Ensure shared family areas remain organized and clutter-free
Return misplaced items to their appropriate location
Waiting Room Engagement & Enrichment Activities
Plan and prepare developmentally appropriate activities and crafts for children and siblings
Create seasonal and themed engagement opportunities that promote creativity, play, and regulation
Set up and clean up activity stations daily
Engage children and families in structured activities while maintaining a calm environment
Maintain organized storage of activity materials and supplies
Create supply lists and submit requests for needed materials
Ensure activities remain safe, supervised, and appropriate for the clinic environment
Rotate activities regularly to maintain interest and engagement
Support to Patient Services
Assist the front desk team during peak clinic hours
Communicate patient flow updates with Patient Services team members
Identify and communicate concerns or barriers families may experience
Clinic Maintenance & Housekeeping
Sanitize high-touch lobby surfaces throughout the day including door handles, tables, counters, and seating
Clean glass surfaces such as entry doors and interior windows
Spot clean walls, furniture, and surfaces as needed
Address spills or messes in waiting areas promptly
Maintain entryway cleanliness during rain, snow, or heavy foot traffic
Vacuum or mop waiting room floors as needed throughout the day
Restock lobby supplies including tissues, sanitizer, wipes, activity materials, and parent resources
Complete end-of-day reset and deep cleaning of the waiting room
Service, Personal Development, & Team Support
Maintain positive communication with team members
Participate in staff meetings, clinic events, and team-building activities
Assist with clinical events, celebrations, and community outreach activities
Follow all company policies and procedures
Complete required training and self-study materials
Support a collaborative and positive clinic culture
Productivity & Accountability
Support efficient patient arrival and departure flow
Reduce waiting room stress for families
Maintain a calm, organized, and welcoming clinic environment
Complete any additional task in line with the mission of More to Say
Job Requirements
